In many community-led entrepreneur programs, one person wears multiple hats. This hybrid role combines the behind-the-scenes coordination of a Program Administrator with the front-of-room leadership of a Facilitator, ensuring that participants are both supported and engaged every step of the way.

This role is ideal for someone who enjoys organizing details and guiding group learning, and who is passionate about helping entrepreneurs succeed. The Program Administrator / Facilitator is responsible for planning and delivering the program while creating a welcoming, interactive environment where entrepreneurs feel seen, supported, and connected.

Key Responsibilities

Program Coordination (Administrator Responsibilities)

  • Recruit participants and manage registration or intake
  • Schedule guest speakers or contributors, and confirm their participation
  • Order or prepare program materials, ensuring correct and timely delivery
  • Send reminders and updates each week with logistics, session details, and announcements
  • Track attendance and engagement during the program
  • Collect and submit basic program data, such as names, contact info, and participant feedback

Session Leadership (Facilitator Responsibilities)

  • Guide the group through weekly sessions, typically 2.5-3 hours per session
  • Prepare in advance, reviewing materials and planning how to encourage group participation
  • Create a supportive environment that centers on shared learning, discussion, and peer support
  • Ask thoughtful questions, draw out insights, and connect the group to relevant community resources
  • Provide one-on-one check-ins with participants as needed to offer encouragement and direction

Ideal Qualifications

  • Has experience as a business owner, entrepreneur, or community leader
  • Detail-oriented and comfortable managing logistics and communication
  • A strong communicator who is good at leading groups and building trust
  • Energetic, encouraging, and curious, focused on sharing rather than lecturing
  • Passionate about helping others build confidence and move forward in their business journey
  • Well-connected (or willing to connect) within the local business or community ecosystem
  • Comfortable with basic tools like email, shared calendars, and spreadsheets

Time Commitment

Time needs may vary depending on the program length and structure. For a 10-week cohort, expect approximately 60 hours total, including preparation, weekly session facilitation, outreach, and administrative coordination.
